Compare Nexvork with Excel, generic CRMs and single-industry apps

Most Indian businesses run their customers on one of four things: a spreadsheet and a personal WhatsApp number, a generic CRM platform, a point tool built for one trade, or something like Nexvork. This page compares the four categories — not a rival's flaws — across the twelve rows that actually decide it, and ends with an honest list of the businesses we should not be selling to.

The four ways an Indian business runs its customers

Before the table, here is each category described the way we would describe it to a friend — including what it is genuinely good at. We deliberately do not name individual products, because the honest answer for every one of them is that it depends on the vendor and the plan.

Athe default

Excel, registers and personal WhatsApp

An enquiry sheet, a diary at the counter, a staff group on WhatsApp and a great deal of remembering. It is by far the most common system in Indian small business, and for a shop taking ten enquiries a month it is a perfectly reasonable one.

strongest atZero licence cost, zero learning curve, and total freedom to invent any column you like.
the real costStaff hours spent re-typing, and the enquiries that go cold because nobody owned the follow-up.
Bthe platform

A generic CRM platform

A horizontal sales CRM with leads, deals, accounts and a builder for everything else. Powerful, well documented, and typically backed by a large marketplace of add-ons and implementation partners.

strongest atComplex, configurable sales processes; quoting, forecasting and territory rules; integrating with a wide software stack.
the real costIt arrives blank. Somebody has to design your pipeline, fields and reports — and keep them alive after that person leaves.
Cthe specialist

A single-industry point tool

A salon booking app, gym management software, a property-portal CRM, a clinic queue app. Written for one trade, so the first screen already speaks your language — chairs, batches, tokens, listings.

strongest atThe one workflow it exists for. A good booking app's calendar is usually better than any general tool's calendar.
the real costThe edges. Enquiries before the booking, campaigns after it, a second branch or a second line of business often need a second tool.

Nexvork

One AI CRM with nine industry editions. The stages, fields, reports and WhatsApp templates for your trade are pre-built, the official WhatsApp Business API and the AI layer are part of the same product, and our team configures it with you.

strongest atOwner-run Indian businesses that want an industry-shaped CRM live quickly, in rupees, with WhatsApp and AI included.
the real costWe are a CRM, not an ERP, EMR or accounting suite — see when Nexvork is not the right fit.

Not sure which edition you would be on? The services hub lists all nine, from real estate and salon & spa to any other business.

A tick means the category does this well as standard. A dash means partial — an add-on, or something that depends on which vendor and plan you pick. A cross means it is not really there. Where a row is a judgement rather than a feature, we mark it "depends" and explain in the note.

What you are deciding A Excel & WhatsApp B Generic CRM C Industry app D Nexvork
Setup time Yes.Immediate. A new sheet takes five minutes; the cost of it arrives later. Partial.Typically days to weeks, because pipelines, fields, roles and reports are built from a blank canvas. Partial.Often quick for the one workflow it ships with; anything beyond that is not yours to configure. Yes.Live in a day for most single-location businesses — the edition is pre-built and we do the import with you.
Industry fit out of the box No.Nothing is pre-built. Every column, stage and formula is yours to invent and maintain. Partial.Generic objects — leads, deals, accounts. Trade vocabulary is typically configured by you or bought as an add-on. Yes.Strong, as long as your business is exactly the industry it was written for. Yes.Nine editions ship configured: stages, custom fields, reports and message templates in your trade's words.
WhatsApp: official API + shared inbox No.Personal WhatsApp only: one phone, no shared inbox, no record in any system, and it leaves with the employee. Partial.Varies by vendor. Usually reached through a paid add-on or a third-party connector, and inbox depth differs. Partial.Varies by vendor. Reminder messages are common; a full team inbox on the official API is less so. Yes.Official Meta WhatsApp Business API, approved templates, recorded opt-ins, campaigns and a shared team inbox — included.
AI lead scoring & predictions No.None. Who to call first is decided by memory and gut feel. Partial. Most modern platforms offer AI features; what is included, and on which tier, varies by vendor and plan. Partial.Varies widely, and is more often historical reporting than forward-looking prediction. Yes.A rule engine plus AI scores every lead, and the model predicts no-shows, renewal risk and refill dates. How scoring works.
Languages (English / Hindi / Marathi) Partial. You can type in any language, but nothing is templated, translated or reliably searchable afterwards. Partial.English is the default everywhere; Hindi and Marathi in the interface, messages and support vary by vendor. Partial.Varies by vendor; Indian-built tools often do better here than imported ones. Yes.Interface, support and WhatsApp automations in English, Hindi and Marathi — the AI replies in the language the customer used.
Mobile app Partial.Spreadsheet apps exist, but editing a thirty-column sheet on a phone between customers is not a workflow. Yes.Mobile apps are standard; how much of the desktop product they carry varies by vendor. Yes.Usually yes for the core workflow — a booking app is normally at its best on a phone. Yes.Nexvork runs on the web and as an Android and iOS app — same login, same data. Ask for the app link at your demo.
Who configures it Depends.Whoever built the sheet — usually the owner, in the evening, forever. Depends. You, an internal admin, or a paid implementation partner. Budget for the partner if nobody in-house enjoys this. Depends. The vendor decided most of it already. Fast to start, harder to bend when your business changes. Depends. Our team, with you, during onboarding — then stages, fields and templates are yours to edit without a developer.
Pricing approach Depends.Effectively free to licence. The bill arrives as staff hours and missed follow-ups instead. Depends.Typically per user per month with tiers. We do not publish other vendors' prices — check their own pricing page. Depends.Usually a monthly subscription per outlet or per seat. Confirm current rates with the vendor directly. Depends. In rupees, sized to your business — team size, branches and modules. Quoted after a demo; no public price table.
Support (India hours, 3 languages) No.There is none. When the person who built the file leaves, the knowledge leaves with them. Partial.Documentation, chat and tickets are standard; IST coverage and Hindi or Marathi help vary by vendor and plan. Partial.Varies by vendor and by size — smaller Indian vendors often answer the phone faster than large ones. Yes.Our own team in Maharashtra, Mon–Sat 9:30–19:00 IST, first reply within 2 hours, in English, Hindi or Marathi.
Data hosting & access control No.A laptop, a phone and a few chat backups. One lost device is one lost customer database, and everyone sees everything. Depends.Role-based access is standard; which region your data sits in depends on the vendor and the plan you buy. Depends.Varies by vendor. Ask where the data lives and who inside the company can read it. Yes.Cloud infrastructure in India, TLS in transit, role-based access, workspace isolation, audit logs and daily backups.
Multi-branch & team visibility No.Every branch keeps its own file. Merging them into one number is a weekend job, every month. Yes.Teams, territories and record-level permissions are core concepts — this is what these platforms are built for. Partial.Varies by vendor; some are designed around a single outlet and charge separately for each new one. Yes.Branches, teams, roles and permissions built in: the owner sees every branch, a manager sees theirs, staff see their own.
Migration help Depends.Nothing to migrate into — but nothing is structured either, so the mess travels with you. Partial.Importers are standard; cleaning, de-duplicating and mapping is usually your job or a chargeable service. Partial.Varies by vendor. Ask specifically about getting your data back out again, not only in. Yes.We import your Excel or CSV, de-duplicate it, map your stage names and review the result with you — usually within a day.
in fairness

Columns B and C describe categories containing dozens of products, so every "varies by vendor" above is doing real work. If a specific tool you are evaluating does something better than we have described, believe the tool, not this page — and tell us, because we will fix the row. What we will not do is publish someone else's prices or invent a benchmark to win an argument.

option a · the sheet and the group chat

Nexvork vs Excel, registers and personal WhatsApp

A spreadsheet is not a bad tool. It is an excellent tool being asked to do a job it was never designed for: remembering, on your behalf, at the right moment, for two hundred customers at once. The failure is never dramatic — it is one enquiry a week that nobody called back.

  • today

One customer lives in three places: a row in the sheet, a thread on somebody's phone, and the rest in that person's head.

    nexvork

One record per customer. The WhatsApp thread, call notes, files, tasks, quotes and payment history all hang off it, and anyone with permission can pick it up cold.

  • today

Nobody knows who to call first, so the loudest enquiry wins and the serious buyer waits.

    nexvork

Every lead arrives scored by the rule engine and the AI model — budget, source, locality, response speed, past behaviour — so the morning list is already in order.

  • today

The follow-up depends on somebody remembering, on a busy Saturday, without being reminded.

    nexvork

Reminders, confirmations, renewal nudges and rebooking prompts send themselves on the official WhatsApp API, in the customer's language, with a confirm or UPI button attached.

  • today

The number your customers know belongs to an employee, not to the business.

    nexvork

Your verified business number, a shared inbox the whole team works from, and a full history that stays behind when staff change.

  • today

Month-end reporting is an evening of copy-paste, and the number is never quite trusted.

    nexvork

Funnel, source, staff and revenue reports are already built and update themselves. You open the app instead of rebuilding the pivot table.

option b · the horizontal platform

Nexvork vs a generic CRM platform

Generic CRMs are good software. The difficulty for a small Indian business is rarely the features — it is that the product arrives as a blank canvas and somebody has to become the person who owns that canvas. For a fifty-person sales organisation that is a real job. For a salon with four chairs, it is the reason the licence goes unused after month three.

  • typically

You start from leads, deals and accounts, and translate your trade into them: a haircut becomes an "opportunity", a site visit becomes a "custom activity".

    nexvork

You start from your own words. Site visits, chairs, OPD tokens, plot numbers, batches and refills exist as first-class things because the edition was written for that trade.

  • typically

WhatsApp arrives through an add-on or a third-party connector, and how deep it goes varies by vendor and plan.

    nexvork

The official WhatsApp Business API, templates, opt-in records, campaigns and a shared inbox are part of the same product and the same bill.

  • typically

The configuration lives in the head of whoever set it up. When they leave, changes stop.

    nexvork

We configure it during onboarding and it stays editable from the settings screen — stages, fields, permissions and templates, without a consultant.

  • typically

Support hours follow the vendor's home market, and Hindi or Marathi help depends on the plan.

    nexvork

Mon–Sat, 9:30–19:00 IST, first reply within two hours, in English, Hindi or Marathi, from the same team that set your workspace up.

choose them, not us, when

Your sales process is genuinely complex and generic — long multi-line quotes, multi-currency deals, deep territory and approval rules — or you need a marketplace of hundreds of ready connectors. That is exactly what a horizontal platform is engineered for, and we are not going to pretend otherwise.

option c · the specialist tool

Nexvork vs a single-industry app

Point tools are the closest comparison to us, and often the hardest call. A booking app built for salons understands chairs better than any general product will. The question is not whether it does its one job well — it usually does — but what happens at the edges of that job, and what happens when your business grows a second shape.

  • the edge

The tool starts at the booking. The enquiry before it — the Instagram DM, the Meta lead ad, the walk-in who asked for a price — lives somewhere else.

    nexvork

Capture, scoring, follow-up, booking, service and rebooking sit on one timeline, and the integrations hub pulls ad, form and portal leads in automatically.

  • the edge

An owner with a salon and a gym runs two products, two logins, two support numbers and two versions of the same customer.

    nexvork

One workspace, one login, separate branches and editions inside it, and one report that adds the whole group up.

  • the edge

Marketing spend and the appointment book never meet, so nobody can say which campaign actually filled the chairs.

    nexvork

Source is carried from the first click through to the paid invoice, so the funnel report answers what a campaign returned without a spreadsheet.

  • the edge

When the business changes — a franchise, a new service line, a corporate tie-up — the product has to be asked to change with it.

    nexvork

Stages, fields and forms are yours to rename and extend, and the dynamic CRM edition exists precisely for businesses that do not fit a template.

choose them, not us, when

You run one outlet, the booking or billing screen is the whole job, and you do not need enquiry pipelines, campaigns or group-level reporting. A dedicated tool will usually be simpler to run — and if you like the one you have, ask us whether it can feed Nexvork through a webhook instead of being replaced.

Switching is a day, not a project

The reason most owners stay on a spreadsheet is not loyalty to the spreadsheet — it is the fear of a three-month implementation. Here is exactly what moving looks like, and what we need from you.

01 / export

Send the file you already keep

An Excel workbook, a CSV, a Google Sheet or an export from your current tool. Messy is fine — mixed columns, blank rows, phone numbers with spaces, three sheets in one file. We have imported worse.

02 / de-duplicate

One customer, one record

We match on phone number and email, merge the duplicates, keep the most recent detail, and flag genuine conflicts for you to decide rather than silently picking one.

03 / map stages

Your words, not ours

Your columns become fields and your own stage names become the pipeline — "Site visit done", "Trial taken", "Quote sent". Anything that does not fit a standard field becomes a custom field.

04 / go live

Working by the same evening

WhatsApp number connected, team invited with the right permissions, reminders switched on and the first reports running. Your original file stays with you, untouched, as a safety net.

the honest part

When Nexvork is not the right fit

Every comparison page on the internet reaches the same conclusion, which is why nobody believes them. So here is the list we read out on sales calls: five situations where you should buy something else, and we will say so before you pay us.

You need a hospital HMS or EMR

Clinical records, prescriptions, IPD admissions and discharge, ward and bed management, lab and radiology modules, insurance claim workflows. Nexvork is a CRM around the patient relationship — enquiries, OPD reminders, follow-ups, feedback and camps. It does not replace an EMR or a hospital management system and should not try to. Many hospitals run both; the clinic and hospital edition spells out exactly where the line sits.

You need full accounting or inventory ERP

GST return filing, purchase orders, stock ledgers and valuation, e-way bills, vendor payables, a balance sheet your CA will sign. We track customers, deals, commissions and payment status against a customer, and we can hand data to your accounting software — but a CRM is not an accounting suite, and calling it one would cost you at audit time.

Procurement needs SSO or certifications today

If your security review requires SAML or enterprise single sign-on, a named compliance certification on paper, or a signed enterprise data-processing agreement before anything can be approved, we are not the vendor for this cycle. What we do have is real and documented — India hosting, TLS in transit, role-based access, workspace isolation, audit logs and daily backups — but we will not claim a certificate we have not earned.

You sell globally, in many currencies

Multi-currency price books, regional tax rules, a follow-the-sun support desk and sales teams across time zones. Nexvork is deliberately built for India: rupees, IST business hours, English, Hindi and Marathi, and WhatsApp as the default channel. That focus is the whole point — and it is the wrong shape for a global sales organisation.

You want a card-and-go signup with no humans

There is no instant self-serve checkout today. Every workspace is set up with our team on a call, because the edition, the import and the WhatsApp verification are done with you rather than by you. If you would rather buy software at midnight without speaking to anyone, that is a fair preference and we are not it yet.

If one of these is you, say so on the demo call and we will tell you straight away — sometimes with a suggestion of what to look at instead. A customer who bought the wrong thing costs both of us far more than a sale we did not make. If none of them is you, the next step is twenty minutes: book a demo or message +91 94059 84824 on WhatsApp.

FAQ · choosing between them

Comparison questions owners actually ask

Six answers we give on the phone, written down the same way.

Neither is better in the abstract, and we are not going to claim a crown. A generic CRM platform is engineered for complex, configurable sales processes and has a large app marketplace behind it; if you have an admin, a budget for implementation and a sales motion that does not look like any particular trade, that is a sensible choice. Nexvork is engineered for Indian owner-run businesses that want the stages, fields, reports and WhatsApp flows for their trade already built, in rupees, with support in three languages. Pick the one whose default state is closest to how you already work.

Mostly yes, with one important change. Conversations move from a personal number to your business number on the official WhatsApp Business API, and every staff member replies from a shared inbox on their own phone or laptop. Customers see the same familiar chat. What changes is that the thread is attached to the customer record, reminders send themselves, and the history stays with the business when someone leaves.

We will not quote other vendors' prices on this page, because they change and we cannot verify them for your plan or region — check each vendor's own pricing page. What we can tell you is our approach: Nexvork is billed in rupees and sized to your business by team size, branches and the modules you switch on, with the quote given after a demo. A spreadsheet is free to license; its cost is staff hours and the enquiries nobody followed up.

For most single-location businesses the move is done in a day. You send the Excel, CSV or Google Sheet export you already keep; we import it, merge duplicate phone numbers and email addresses, map your columns to fields and your own stage names to the pipeline, and review the result with you before anyone starts working in it. Your original file stays untouched on your side, so nothing is lost if you want to check a number against it later.

Often, yes. If your existing tool can send a webhook or export a file, the integrations hub can push new customers and bookings into Nexvork so enquiries, campaigns and reporting live in one place while the specialist tool keeps doing its job. Where a two-way sync is not possible we will say so before you buy, rather than after.

We tell you on the demo call. There is a section on this page listing the situations where we are genuinely the wrong tool — a hospital that needs an EMR or HMS, a business that needs full accounting or inventory ERP, procurement that requires SAML single sign-on or a certification today, and global multi-currency selling. A customer who signs up for something we do not do costs both of us far more than a sale we did not make.

Still weighing it up? Bring your spreadsheet to a twenty-minute demo and we will import a copy of it live, on your industry edition, so you can compare the real thing instead of a table.
